How we handle your information.

Information we collect

When you fill out our Request a Deal form or contact us, we collect:

• your name, email address and phone number;
• the make, model and year of the vehicle you want;
• trade-in details, if you provide them;
• any other preferences you share, such as features or paint colour;
• once paid services begin, billing records such as invoices, dates and amounts paid.

What we do not collect. We never ask for payment card numbers, Social Insurance Numbers or driver's licence numbers. Please do not send them to us.

Consent. By submitting our Request a Deal form and ticking the box agreeing to this policy, you consent to us collecting and using your information as described here.

Why we collect it

We use your information only to:

• respond to your request and provide our negotiation service;
• communicate with you about your deal;
• negotiate with dealerships on your behalf;
• keep the business and tax records the law requires.

Who we share it with

Once you sign up for our service, we share your name, contact details, vehicle details and trade-in information with the dealerships involved in your deal, so they can complete your purchase. We do not sell your personal information, and we do not share it with anyone else unless the law requires us to.

How we store and protect it

Your information is stored in our Google Workspace account (email and Google Drive), which is protected by two-step verification. Only Dealer Concierge has access to it.

Storage outside Canada. Google may store and process data on servers outside Canada, including in the United States. Information stored outside Canada may be subject to the laws of those countries.

Data breaches. If a breach of security creates a real risk of significant harm to you, we will notify you and report it to the Office of the Privacy Commissioner of Canada, as PIPEDA requires, and keep a record of it.

How long we keep it

• Contact details, vehicle and trade-in details and deal notes are kept for two years after your deal is complete, then deleted.
• Billing records (your name, invoices, dates and amounts paid) are kept for six years to meet Canada Revenue Agency requirements, then deleted.

Emails and messages

We reply to requests you send us. We will only send you marketing emails or texts if you agree to receive them, and every message will include a way to unsubscribe, as required by Canada's Anti-Spam Legislation (CASL).

Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it, subject to the records we must keep by law. You can also withdraw your consent at any time, though this may mean we can no longer provide our service.

Clients under the age of majority

If you are under the age of majority in your province, we ask that a parent or guardian consents to us collecting your information and is involved in your purchase, since dealerships usually require an adult to sign or co-sign the purchase contract.

Cookies and analytics

Our website may use cookies and similar tools, such as analytics or advertising pixels (for example, from Facebook), to understand how visitors use the site and to measure our ads. You can block or delete cookies in your browser settings.

Links to other websites

Our website and messages may link to dealership websites and other third-party sites. We are not responsible for their content or privacy practices, so please review their policies.

We may update this policy from time to time. The latest version will always be posted on our website with its effective date.
